1. Scope
This policy explains how Solutions locatives LeaseLane inc., doing business as Lease Lane (“Lease Lane” or “we”), collects, uses, discloses, retains and destroys personal information. It applies to the leaselane.ca site, the Cléo conversational agent, our forms and our rental management services. It covers visitors, people looking for housing, tenants, co-signers and client owners.
When we manage a building on behalf of an owner, some tenant information is also held by that owner . This policy complies with Québec's Act respecting the protection of personal information in the private sector, as amended by Law 25.
2. Person in charge of the protection of personal information
is the person in charge of the protection of personal information at Lease Lane. For any question, or to exercise your rights, write to confidentialite@leaselane.ca or to 1516, rue du Layon, Lévis (Québec) G7A 0E6.
3. Information we collect
We collect only the information necessary for the stated purposes.

We do not ask for a social insurance number or health insurance card to review a rental application or a guarantee. We verify identity without keeping a copy of the documents presented . Financial information and the results of a credit check are treated as sensitive information.
4. How we collect it
- Directly from you: forms, conversations with Cléo, email, phone, viewings.
- From third parties, with your consent: credit reporting agency, former landlords or other references you provide.
- Automatically, according to your choices: cookies and similar technologies, described in our Cookie Policy.
5. Purposes of use
We use your information only for the purposes stated at the time of collection:
- respond to your requests and schedule viewings;
- review rental and guarantee applications;
- enter into, manage and renew leases;
- handle repair requests and ensure building safety;
- collect rent and pay amounts owed to owners;
- meet our legal obligations, for example issuing the RL-31 slip or responding to the Administrative Housing Tribunal;
- improve our services, using aggregated or anonymized data where possible;
- send you promotional information, only if you have consented; you can unsubscribe at any time.
Any new purpose requires your consent, unless an exception is provided by law.
6. Consent
- We obtain your consent before collecting, using or disclosing your information, except as otherwise provided by law.
- For sensitive information, such as the result of a credit check, this consent is express: a separate box, never pre-checked.
- You can withdraw your consent at any time, subject to our legal or contractual obligations. We will then explain the consequences to you, for example that we cannot review a rental application.
- Consent for a person under 14 is given by the person having parental authority.
7. Cléo and artificial intelligence
- Cléo is an artificial intelligence agent, and he introduces himself as such at the start of every conversation.
- Conversations are recorded to follow up on your requests, allow handoff to our team and improve the service. Only authorized members of our team can access them.
- Cléo runs on a technology provider , which processes conversations on our behalf under a written agreement. Your conversations are not used to train this provider's models .
- No decision based exclusively on automated processing is made about you . If this were to change, we would inform you no later than at the time of the decision. You could then learn the information and reasons on which it was based, and ask a member of our team to review it.
8. Disclosure to third parties
We do not sell your personal information. We disclose it only when necessary, to the following:
- the owner of the building concerned, for whom we act as property manager;
- our service providers (hosting, management software, payment, chat), bound by a written agreement that protects confidentiality;
- a credit reporting agency, with your consent;
- contractors in charge of the work, only for the information they need, such as name, unit number and availability;
- authorities, when required by law, for example Revenu Québec or the Administrative Housing Tribunal;
- another business, as part of a commercial transaction and under the conditions provided by law.
9. Information processed outside Québec
Some providers may host or process information outside Québec . Before any communication outside Québec, we conduct a privacy impact assessment. We also ensure, through a written agreement, that the information receives adequate protection.
10. Retention and destruction
We keep information for as long as necessary for the stated purposes, or as long as required by law, then destroy it securely or anonymize it.

11. Security and confidentiality incidents
- We limit access to the people who need it, encrypt data in transit and at rest, log access and train our team .
- In the event of a confidentiality incident, we promptly take measures to reduce the risk of harm.
- If the incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the persons concerned. Every incident is recorded in a register.
12. Your rights
At any time, you can:
- know what information we hold about you and obtain a copy;
- have inaccurate, incomplete or ambiguous information corrected;
- withdraw your consent;
- ask that the dissemination of information cease, or that a hyperlink leading to it be de-indexed, where the law allows;
- receive the computerized information you provided to us in a structured, commonly used technological format, or have it sent to a person of your choice;
- be informed of any technology that can identify you, locate you or profile you, and of the ways to turn these functions off.
To exercise these rights, write to our person in charge (section 2); we may ask you to confirm your identity. We respond in writing within 30 days of receiving the request. Access is free of charge; reasonable fees may apply for transcription, reproduction or transmission, and we will notify you first.
13. Cookies
Our cookies and similar technologies are described in our Cookie Policy, available at leaselane.ca/temoins. Only essential cookies are active without your consent.
14. Minors
The site is not intended for people under 14. We do not knowingly collect their information without the consent of the person having parental authority.
15. Complaints
If you believe we have not respected your rights, write to our person in charge describing the situation, the information involved and the relevant dates. We acknowledge receipt of your complaint and respond in writing within 30 days. If you are not satisfied with the response, you may contact the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).
16. Changes to this policy
We update this policy when our practices change; the date of the last update appears at the top of the page. If a change affects how we use your information, we inform you before it applies and, if necessary, ask for your consent again.
